Template 01

Fixed appointment deposit

Use when: For a defined appointment category with a consistent reservation cost.

Editable wording
A $[amount] appointment deposit is required to reserve [covered appointment/service]. It is [applied to/released at] the attended appointment. If you change the booking at least [__] hours before the start time, the deposit [transfers once/refunds within __ days].

If you cancel inside the notice window or do not attend, [specific outcome]. If [business/practice name] cancels, you may choose [full refund/transfer] within [timeframe]. Exceptions are reviewed by [role] through [contact route].

  • State the payment-processing timeframe.

Percentage deposit

Use when: For services whose price and reserved time vary.

Editable wording
A [__%] deposit based on the quoted [service/session] total is required at booking. Your quote is $[amount], so today’s deposit is $[amount]. It will be [credited to the final total/released] when you attend.

With at least [__] hours’ notice, [transfer/refund terms]. With less notice or non-attendance, [outcome]. If the final scope or price changes, explain how the deposit is recalculated: [rule]. If we cancel, [refund/transfer options].

  • Define how scope and quote changes affect the deposit.

Transferable one-time deposit

Use when: When one timely schedule change is allowed.

Your $[amount] deposit may be transferred once when you request a change at least [__] hours before the appointment. The replacement appointment must be booked within [__ days].

A second change, a change inside the notice window, or non-attendance results in [outcome]. A change initiated by [business/practice name] does not use your one transfer; you may choose [refund or transfer]. Contact [route] for exceptions reviewed by [role].
  • Define the rebooking deadline.
  • Do not count a business change against the recipient.
  • Say what happens if no suitable replacement time exists.

Assessment-dependent appointment deposit

Use when: For appointments where professional or clinical assessment may mean the planned service should not proceed.

A $[amount] scheduling deposit reserves [time/practitioner/resource]. It does not guarantee that [treatment/service] is suitable or will be provided; that decision follows the separate assessment and consent process.

  • Keep suitability and consent independent from payment.
  • State the outcome when the service should not proceed.

Template FAQ

Is an appointment deposit the same as a no-show fee?

No. A deposit is collected or authorized before the appointment under disclosed terms; a no-show fee is imposed after a missed booking. Different consumer, payer, card, and professional considerations may apply.

Should a deposit be refundable?

The policy must clearly state when it refunds, transfers, applies, or is retained, including when the business cancels or the service cannot appropriately proceed.

Can every service use the same deposit?

It is usually clearer to segment by duration, value, preparation, scarcity, and legal or payer status. Routine and high-value appointments often need different commitments.
